Privacy Policy

This Privacy Policy explains how we collect, use, and share your information when you use Mejl. Mejl is a Gmail-based email client operated by Niels Segers BV, a Belgian private limited company with VAT number BE 1011.064.058. In this policy, “we,” “us,” and “our” refer to Niels Segers BV.

When you connect a Google account, we access the Google user data needed to provide Mejl:

We do not sell Google user data or use it for advertising, credit decisions, or training generalized AI models.

Our use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

We use AI service providers through Vercel AI Gateway for writing, thread summaries, and automatic sorting. Writing tools process the text you select. Reply suggestions process the content, subject, sender, and recipients of the message you are replying to. Automatic sorting processes relevant message content, sender and recipient information, and label information.

For Mejl Plus accounts, thread summaries are generated automatically when you open a conversation with three or more messages, excluding drafts. This processes the conversation's message content, subjects, senders, recipients, and timestamps. Drafts and attachment contents are not included in summary requests.

We use this data only to provide these features. Our AI requests require zero data retention and disallow prompt training through Vercel AI Gateway. This restricts routing to providers with zero data retention agreements with Vercel and prevents routing to providers that use the data for model training. If no eligible provider is available, the request fails rather than using a provider outside these requirements.

These controls apply to AI processing, not all information stored by Mejl. Thread summaries are cached temporarily in app memory. We retain limited usage metadata as described below, without sending email content, AI prompts, or AI outputs to product analytics.

We use PostHog's EU service to understand which Mejl features are used and to manage operating costs. We record limited events such as opening the app or a thread, searching, sending mail, creating a view, using Fresh Start, opening a settings section, changing a sorting description, setting a reminder, seeing or using a reply suggestion, starting checkout, activating a subscription, using an AI feature, and reaching the daily sorting allowance.

On our public website, we also record page URLs, referring sites, and campaign information. These visits are measured anonymously without cookies or browser storage.

Product analytics use an internal account identifier and may include the app platform, where in the app an action started, the reminder time option chosen, AI feature, model and provider, token counts, response time, and cost. We do not send your email address, email content, subjects, recipients, labels, search terms, AI prompts, or AI outputs to PostHog. Session recording and automatic interaction tracking are disabled.

We store limited information needed to operate Mejl:

We read message bodies and attachments from Gmail when needed to display them or provide a feature. We do not sell message content or provide it to advertisers.

Stripe provides checkout, payment processing, fraud prevention, invoicing, tax calculation, subscription management, and the billing portal for Mejl Plus. We receive the customer and subscription information needed to provide Plus and meet our legal obligations. We do not receive or store your full card details or automatically send your Google identity to Stripe.

When you contact us, we process the information you provide and limited technical and device information needed to respond, troubleshoot, secure, and improve the service.

Support messages are delivered through the email providers used by you and us. Our providers may process data outside the EEA using appropriate safeguards. Do not include passwords or unnecessary email content. We keep support requests for up to 24 months after the last activity unless they are needed longer for legal, security, or support reasons.

We remove remote images that look like obvious tracking pixels. Other images load directly from their host without a referrer, so the host may receive your IP address and device information and may infer that you opened the email. Our filter reduces, but cannot prevent, all email tracking.

We do not sell personal data. We share data only as needed to provide, maintain, secure, and comply with the service, including with:

We use technical and organizational safeguards, including encrypted OAuth token storage, HTTPS, server-side sessions, and access controls. No system is perfectly secure, but we work to prevent unauthorized access, loss, misuse, and alteration.

We keep Google user data for as long as needed to provide and secure Mejl, maintain your account, and meet legal obligations. You can revoke our access from your Google Account settings at any time.

You can delete your account from Settings. We then delete the account, authentication, settings, synchronization, notification, and subscription-link records unless they must be kept for legal or security reasons. A renewing Mejl Plus subscription must be canceled first.

Payment, tax, and accounting records are kept as required by law. Belgian rules generally require relevant invoices and supporting documents to be kept for 10 years. Our providers may also retain data under their terms, our instructions, or their legal obligations.

We may update this Privacy Policy when Mejl, our data practices, or legal requirements change. If we materially change how we use Google user data, we will update this policy and ask for consent where required before using it for the new purpose.
